Bank & cash

  • Bank statements for every business checking and savings account (full month, PDF)
  • Statements for any new accounts opened this month
  • Petty cash log and receipts
  • Explanation of deposits over your review threshold (source of funds)

Credit cards & loans

  • Credit card statements for every business card (including employee cards)
  • Loan and line-of-credit statements (principal / interest split)
  • Lease or equipment financing statements

Revenue

  • Merchant processor statements (Stripe, Square, PayPal, Shopify, etc.)
  • Sales reports or POS summaries for the month
  • Invoices issued outside the accounting system
  • Notes on refunds, chargebacks and write-offs

Expenses & payables

  • Receipts over your threshold (or all receipts, if required)
  • Unpaid vendor bills received this month
  • Recurring subscription changes (new, cancelled, price changes)
  • Mileage or reimbursement reports

Payroll & contractors

  • Payroll register / payroll journal for every pay run
  • Payroll tax payment confirmations
  • New hires, terminations and pay-rate changes
  • Contractor payments and new contractor W-9s (for 1099s)

Other

  • Owner contributions or draws not visible in bank detail
  • Large asset purchases (invoice + description)
  • Sales tax returns or payments filed this month
  • Anything unusual: insurance claims, legal settlements, grants, loans from owners

How to use it

  1. Trim it per client. Delete what doesn't apply. A short, specific list gets answered faster than a long generic one.
  2. Send it on the same day every month (the 1st–3rd works well) with a clear due date, e.g. 7 days.
  3. Remind on a fixed cadence: day 3 friendly, day 7 reminder, day 14 final notice.
  4. Track who is complete so you only chase the stragglers.

This checklist is a general starting point, not tax or legal advice. Adjust it to each client's situation.
